Purpose of the Role

The Event Production Lead holds the logistical, aesthetic, and operational container of the event, so the facilitator can arrive fully present and focused on participants.

This role ensures that the space is prepared, beautiful, functional, and calm before the event begins — and that helpers are clearly guided and supported.

Once the event starts, the role is complete.

Core Responsibilities

1. Before the Event (Preparation & Communication)

Helpers coordination

• Be present in the helpers chat before the event
• Ensure all pre-tasks are covered (e.g. fruits, materials, arrivals)
• Clarify responsibilities if something is missing or unclear
• Proactively close gaps so the facilitator does not need to intervene
• If a helper responsible for fruits cancels, reassign the task or take it on yourself

Event materials

• Take responsibility for the event equipment stored in:
  • one large wheeled luggage
  • one bag of bedsheets
• Ensure the equipment:
  • Always arrives at the venue
  • Is complete and functional
• Inform the facilitator in advance if anything is:
  • Missing
  • Broken
  • Needs replacing
• Build the setup in a way that supports smooth, uninterrupted facilitation
